How to Engage All 5 Senses at Your Next Event

When planning an event, it’s easy to focus on just what guests will see. From the centerpieces and signage to the lighting and decor, visual elements often take center stage. But what about the other five senses?

From our experience, some of the most memorable events go beyond what guests see, and they intentionally tap into all five senses to help shape the attendee experience.

Whether you are planning a non-profit fundraiser, a corporate conference, or a company celebration, incorporating sight, sound, smell, taste and touch can help create an atmosphere that feels cohesive, intentional and memorable.

So, how can you bring all five senses to life at your next event? We are sharing a few ideas, along with real-life examples from events we have helped plan.

1. Sight

Sight is often one of the first things we think about when planning an event. From the moment guests arrive, visual elements help set the tone, communicate your message and build excitement for what’s to come. Thoughtful branding, decor, lighting and visual storytelling can transform a space and create an experience that feels cohesive throughout.

One client that does this exceptionally well is the Minnesota Zoo Foundation with its annual fundraising event, Beastly Bash. Here’s how they bring their event to life through sight:

  • Branding & Signage: From the moment guests arrive, bold, playful and consistent branding carries throughout the event. Every detail feels connected and reinforces the overall experience.
  • Decor & Lighting: Thoughtfully selected decor and lighting complement the event’s branding and transforms the venue into a welcoming and visually engaging environment.
  • Visual Storytelling: What better way to connect to the Zoo’s mission than by bringing them face-to-face with the animals themselves. Having animals onsite gives attendees a firsthand look at the incredible work their support makes possible.

2. Sound

Sound has the power to completely transform the energy of an event. The right music can build excitement, a powerful speaker can inspire action, high-quality audio ensures every message is heard loud and clear.

Whether it’s through live entertainment, meaningful storytelling, or simply making sure guests can hear, sound plays an important role in shaping the attendee experience.

A great example is Shine a Light’s SoulShine, an event that puts music, movement and community at the center of the’ experience.

Here’s how they intentionally incorporate sound:

  • Live Entertainment: SoulShine offers something different from a traditional fundraising event by making live entertainment a central part of the experience. Music isn’t just entertainment; it directly connects to the organization’s mission of supporting youth mental health awareness through music, movement, and community.
  • Storytelling: Speakers share personal stories and experiences that help attendees better understand the impact of the Foundation’s work and create powerful moments.
  • Audio Quality: Even the most powerful message can fall flat if guests can’t hear it! SoulShine prioritizes professional AV production, partnering with AV For You to help ensure the event’s sound is executed seamlessly.

3. Smell

Smell is one of the most overlooked senses in event planning, but it can have a surprisingly powerful impact on overall atmosphere.

Think about walking into a space filled with the smell of freshly brewed coffee, a delicious meal being prepared or fresh flowers. Although subtle, these small details can help make a space feel inviting and memorable.

Some events even incorporate a signature scent through candles, florals or other carefully selected elements.

One client that embraced this sense was Catholic Charities’ Spirits of the Season, an outdoor winter celebration that brought the smell of holiday cheer.

Here’s how they incorporated smell into the experience:

  • Seasonal Elements: From the smoky bonfire, to the fresh scent of pine trees, the outdoor winter setting naturally created a festive atmosphere that guests could smell throughout the event.
  • Food & Beverage: Hot chocolate, cookie decorating and fresh donuts added a familiar, comforting aroma that contributed to the overall holiday experience.
  • Venue Selection: Sometimes the venue itself can do a lot of the work for you! Hosting Spirits of the Season outdoors allowed them to embrace the natural elements.

4. Taste

Food and beverage are often some of the easiest ways to engage the senses. When thoughtfully selected, food and beverage can reinforce an event’s theme, encourage interaction and become a memorable part of the event.

A great example is the University of Minnesota Foundation’s WineFest, where food and beverage is woven throughout an entire weekend of events. From a multi-course dinner with expertly paired wines, to interacting tasting stations and unexpected late-night bites, every element is designed to enhance the guest experience

Here are a few ways WineFest brings taste to life:

  • Curated Menus: The Fine Wine dinner features a thoughtfully curated multi-course meal, with wine pairings selected to complement each course. It’s a great example of how food and beverage can work together to create a complete, elevated experience.
  • Unexpected Treats: From late-night espresso and cookie dough to Parlor Burgers, WineFest incorporates fun food and beverage movements that keep guests engaged throughout the evening.
  • Interactive Food Stations: The Grand Tasting gives attendees the opportunity to explore wines from across the country while also enjoying food from Twin Cities restaurants. Rather than a traditional plated meal, guests can explore and sample at their own pace.

5. Touch

Touch is another sense that can be easily overlooked, but it’s one of the best ways to turn attendees from spectators into active participants.

Interactive activities, meaningful takeaways and hands-on displays give attendees an opportunity to engage with your event in a more personal way. The Epilepsy Foundation of Minnesota’s Epilepsy Walk is a great example of how simple, thoughtful activities can make an event feel more personal and meaningful.

Here’s how they incorporate touch throughout the event:

  • Interactive Activities: Participants were invited to write their reason for walking on a sticky note and add it to a display. This simple activity gave everyone an opportunity to share their personal connection to the cause.
  • Memorable Takeaways: Small keepsakes can carry a lot of meaning. Attendees had the opportunity to take home heart-shaped rocks and tokens as a reminder of the event and the community.
  • Interactive Displays: A large hand-made quilt created from t-shirts from past walks was featured at the event. This display gave attendees an opportunity to see and touch a piece of the event’s history while celebrating all that the organization has built over the years.

Bringing It All Together: Creating a Memorable Event Experience!

The key to engaging all five senses isn’t about incorporating as many elements as possible. It’s about being intentional. Every event has a different purpose, audience and atmosphere. What works for one event might look completely different for another event. The goal is to identify the different sensory elements that support your event’s purpose and enhance the experience you want to create.

At Do Good Events, we believe successful events are about more than checking boxes and executing a timeline. They’re about creating meaningful experiences that bring people together, inspire connection and leave a lasting impression.

So remember, the next time you’re planning an event, don’t just think about what attendees will see, think about everything they will experience!
